A National Organisation is seeking a Project Coordinator (Telecoms Build experience not necessary but a bonus. CTIL/Cornerstone experience is a MUST) to join their growing business and work on exciting projects. To provide high level operational & administrative support to the Technical Resource Department (both office & field based teams) by coordinating consumables & logistical support. The production of quotations to meet the requirements of each work instruction is a key part of this role as is liaising closely with our warehouse partner to ensure the correct consumables reach site on time to allow works to be completed. This role may also provide assistance generating handover packs on completion of all works. Ensuring that accurate quotations are prepared for all sites resulting in the accurate & timely supply of consumables & equipment Coordinating & maintaining accurate records detailing the assets & consumables of the Technical Resource Department (TRD) Understanding the requirements of the client across projects in respect to consumables required Collate and produce quotations for all work instructions, with support from the Rigging Supervisor. Maintaining records of consumables held in vehicles and centrally, ensuring stock availability Assist in ensuring HoP s packs are prepared in a timely manner to meet company requirements Keeping records and information for internal and external Riggers/Engineers PPE equipment Assist in collating documentation for work packs required by riggers and I&C engineers for their weeks work Assist in the production of desk top RAMS for riggers and I&C work activities each when required Keep track of QA procedures including management & recording of PPE Assist in control of Consumables, PPE & Assets required by the Technical Resource Department Support managers in critical data input into client systems, ensuring high levels of data integrity at all times Support managers in collation of figures for monthly statistics Support managers & riggers in ordering consumables if and when required Daily liaison with various internal business units to assist forecasting for site completions General administrative and project support duties across other departments as and when required Ability to conduct independent research, collate information & produce high quality work outputs such as reports, handover packs & other documents Comfortable in providing timely, accurate advice & recommendations on routine matters to both internal & external stakeholders Make suggestions for continuous improvements to existing work flows/practices, leading to increases in productivity & efficiency Logistics Coordination Produce quotations for individual site works using a master spreadsheet producing accurate requests for consumables, equipment & associated costs. Agree all costs with Rigging Supervisor within 72 hours of instruction resulting in the production of purchase orders (POs) to cover all agreed quotations Track rigging teams activities each week to ensure that all consumables/materials required have been dispatched or are available allowing works to commence Regularly review & provide feedback on the performance of the warehouse against their SLAs, ensuring that ay issues are escalated to the Head of TRD in a timely manner. Tracking stores holding Liaise closely with managed warehouse to ensure that all requests for consumables have been received, materials dispatched & stock levels appropriately maintained to meet rigging teams requirements Assist in the procurement of consumables as required ensuring that cost savings are achieved wherever possible In conjunction with warehouse, review and audit stock holding in vehicles and stores quarterly resulting in the timely identification & reporting of discrepancies PPE management Update and manage PPE equipment records, organising for the purchase, replacement or testing of equipment as necessary & ensuring information is entered into the H&S database within agreed timeframes Conduct regular audits of PPE recording & actioning any findings within agreed timeframes Reviewing H&S database in relation to training/ticket expiries & ensuring appropriate action is taken to keep all training, tickets & certifications valid at all times Organise & register PPE for all new TRD employees Departmental support Provide general support to TRD Department including; assisting with permits, handling minor on-site incidents/issues, producing HOPs for completed works, production of H&S documentation such as RAMs, collate information for monthly reports/billing QA & H&S Adhere to the Company s QA system through compliance to internal policies, procedures & quality standards as evidenced through audit procedures & the issue of non-conformance notices Ensure the safety & well-being of all employees through understanding, promoting & complying with all H&S policies as evidenced through zero safety incidents Ad hoc Complete any ad-hoc tasks, duty or activity reasonably requested of you in line with your role, knowledge & experience to a high-quality, within agreed timeframes
